• Executive Assistant / Office Manager

    We are looking for a full-time Executive Assistant/Office Manager (EA) to support and partner with a Financial Advisor (FA) in a local wealth management office. The EA needs to be extremely organized, able to multi-task, adapt to new technology and interface with a variety of personalities.  The EA will be responsible for all administrative duties and front office operations.
    The EA will use CRM systems to maintain client accounts, client and FA activity, and adhere to other processes to document client communication as necessary.  Daily, the EA responsibilities may include but not be limited to:

    • Scheduling appointments and preparing appointment materials
    • Open client accounts, maintain client document files and process paperwork
    • Greet clients and prospects arriving for appointments to ensure they receive a quality experience
    • Run insurance illustrations and complete applications
    • Data entry
    • Work with back office for compliant branch operations
    • Process all mail and deposit funds received
    • Facilitate inter and intra investment firm transfers and rollovers
    • Set up events and coordinate all logistics from concept through completion
    The EA ensures all policies and processes are adhered to and delivers exceptional client service allowing the FA to focus on client needs, strategy, portfolio management and financial planning. It is important that the person in this role embrace the policy of providing timely responses to internal and external constituents he/she serves with decorum, respect and care.  Lastly, the EA will work with the FA to follow all financial industry compliance mandates, ensuring the branch is always in proper order for branch audits.

    • Ability to learn, troubleshoot and complete tasks without constant supervisory direction
    • Strong initiative with the ability to work independently
    • Effective written and verbal skills
    • Focus on detail and accuracy – accounting or proofreading skills a plus
    • Strictly adhere to codes of confidentiality and ethics
    • Proficient in Microsoft Office, Outlook and able to learn new CRM and technology
    • Must be able to pass a background check and drug screening
    Experience:
    The ideal candidate will have 2 years or more of work experience in small business management, investments, accounting, insurance or legal industry.
